Oak Flat Elementary PTO Meeting 03-13-23 4:pm

Treasurer's Report:

No true balance, candy money to deposit, outstanding checks [teachers] 

Hershey's Candy Fundraiser Update:

Sale ends March 31st, all money due in the first week of April. 

Paint Night Fundraiser:

 Scheduled for March 24th at Oak Flat. 6:30-8:pm Cost is $35 per person, 10 spots sold so far.  Possible Mommy and Me paint night planned for May.

Spotlight on Learning Raffle:

Michael is still working on donations, 17 so far. All posted to Everything Newville. Waiting on many more to come in. Meagan will post them to the PTO page. Planning to sell raffle tickets May 15th thru May 25th and announce the winners on Friday May 26th.

Carnival Day:

Paid $853 of the $1,716 so far for Strouse Entertainment.

Teacher Appreciation May 02, 2023:

Michele will get menu/prices from Olive Garden. We will use Sign Up Genius for desserts, money, plates/cups/cutlery etc. Michele will check to see if she can do a 10:30 pick up to have the food to Oak Flat for 11:am.

Field Day:

Have each grade wear a specific color for field day, Grades 4-5 go to the high school, Michele is reaching out to see if we can get sponsors for t-shirts for them. And she is also getting t-shirt prices.

Restaurant Night:

Chipotle is booked for April 3rd from 5-9:pm

Playa Bowl is booked for May 3rd 4-7:pm

Hoss's is booked forJune 6th, all day

currently working on more....Solid No's from Olive Garden, Red Lobster, Dough & Arrow, Red Robin, Chili's...

Memory Books:

Katie is starting to work on the Memory books. Lifetouch finally sent the photos over. She is checking with the company to see if the 5th graders artwork can be used for the covers again.

PTO Committee Meeting Minutes 02-13-2023

Attendees:

Treasurer's Report:

Current account balance $23,622,61. Breakfast with Santa paid and 3 teachers reimbursed , still have not received a contract or paid for Family Fun NIghts.

Family Fun Nights:

In the future make sure signs are up that no food or drink goes in the gym, ask custodian for the ribbon barriers. 5th grade is making thank you notes for Pepsi and others that helped with donated items.

Spring Fundraiser:

We are going to sell Hershey candy the whole month of March. Meagan is working on sending papers home with students to let parents know about selling Hershey candy. Looking to see how many respond willing to help sell.  We will need volunteers to help distribute the boxes when parents pick up, we are aiming to make pick up night thursday February 28th from 4-6:pm, after clubs. Michelle is setting up incentives, Chicago Boyz assembly. If the incentive isn't met by school/class, only kids who participated will be invited, still under discussion. Also working on staff incentive to help sell candy. Limit one box at a time. Class with highest % of participation will have pizza, outside ice cream social or a glow dance party. Every box sold gives us 44%, $46.00. Checking with Mrs. Kimble about a fundraiser kick off assembly for the students.

Paint Night:

Meagan is leading, first paint night will be at the school. Looking for at least 20 participants. Tickets will be sold/tracked on Eventbrite. First Paint NIght will be March 31, from 6-8:pm, everyone is allowed to bring their own drink/snack. Cost $35 per person, ages 16 and older. Looking into holding a Paint Night every month, looking into other venues to have them. 

Sneaker Collection Fundraiser:

This will run through May 19th. Flyers being sent home this week to explain the program.

Restaurant NIghts:

We are working on having Restaurant NIght once a month, including during the summer,

April 3rd 5-9:pm at Chipotle in Carlisle

May 3rd 4-7:pm at Playa Bowl in Carlisle

More to come.....for each place you must have a flyer for us to get credit. Flyers will be sent home closer to each date.

Oak Flat Elementary PTO Minutes 01-17-23

Treasury Report:

A meeting was previously called, a new budget was made, see Meagan or Michelle for a copy if you need one.

Teacher Luncheon [old business]

There is left over donations that will go towards the next teachers luncheon.

Breakfast with Santa [old business]

Check into ordering food thru Chartwells, maybe offset the cost of staff.

Book Sale [old business]

The used book sale brought in $1,185.30, we will decide at a later if date if we would like to do this again or go back with Scholastic book sales.

February Family Fun Night [02-10-23]

Cost will be going up for lifeguards. We will see how many people attend and then decide if we will continue to have two family fun nights and budget for it or go back to one family fun night. Sara Fulton will let us know about Pepsi and Quaker donations. Sara is checking with the high school about using their gym equipment again,

Spotlight on Learning 05-25-23

We will have a raffle and sell tickets at the event. A memo will be sent our asking parents [business owners] for donations of items/gift cards for the raffle, Meagan will make up a donation letter for Michael to go around to area businesses asking for donations also.

Spring Fundraisers

Meagan and Michelle will get information on candy bar fundraisers: Hershey, Gertrude Hawk and World's Famous

Michael will get information for monthly dine out fundraisers: Chipotle, Red Robin, Applebees, Chick-fil-A, Playa Bowl and Dough & Arrow.

Michelle is getting more information on a sneaker fundraiser. Donate sneakers, the better the condition the more we can get. 

Saylors is no longer doing the receipt fundraiser

Oak Flat Elementary PTO 11-08-22 Meeting

Family Fun Night 11-11-22:

Cost is up from $90 for 3 lifeguards to $150 with 5 lifeguards. Looking into if we can go back to 3 for $90 for the next Family Fun Night. Sara obtained Pepsi donations and Quaker snacks for the night.

Joe Corbi Fall Fundraiser: Pickup date 11-21-22

Meagan will email families with pickup instructions closer to the date. 

We have 3 NHS volunteers so far.

We sold a retail of $26,874 with a profit of $7,404.75

Teacher Luncheon 11-22-22:

All slots filled on SIgn up Genius for food items!

Monetary donations still coming in, $485 so far!

Sonia will pickup the order from Chic-fil A and deliver to the school for 11:30

Book Sale: 11/15-11/17, 11/21-11/22

Book sale is set up in the hallway by the Nurses office.

Email was sent out for volunteers to staff the book fair using sign up genius.

Breakfast with Santa 12-10-22 8-11:am

Katie and Sonia will take lead on BWS.

Katie and I will go to area stores for donations, Giant, Walmart, etc

Katie will bring in a Christmas tree.

Sonia and Katie looking into Santa Shop options.

Crafts need ordered, Oriental Trading.

Any word on the Dairy Princess? None at the time of our meeting.

Student Christmas Gift:

Katie looking into wallet options for dawg dollars.

We have a budget of $1000

Oak Flat Elementary Meeting Minutes 10-11-22 - meeting called to order at 4:10 pm

Board Members: 

There has been no contact from Secretary Taylor Stoltenburg, Meagan Brackbill will have her removed from the PTO board.

Spirit Wear:

PTO made $194.00, 103 items were soldl! Order should be in week of Spirit Week. 

Meagan is looking into Piper Advertising and Modern Imprint LLC to use next year.

Fall Fundraiser: 

Joe Corbi fundraiser to be delivered 11-21-22, time not set yet.

Sara checking on Honor Society volunteers to help .

Pizza party for top selling class.

Small group forming to work on pick up details, location, etc.

Family Fun Night: 

10-21-22 Meagan will be sending reminders home with students.

Michelle did contracts for lifeguards, she will follow up, payment needs made.

PTO to provide drinks, in the reminders we are asking parents to bring a snack each to share.

Sara to call Pepsi, etc for water donation [for this and other upcoming events]

PTO to get gym equipment from Oak Flat, dodgeballs, basket balls, footballs.

Teachers Luncheon:

increase budget to purchase bookmarks, smickers, smencils to sell at the book fair.

Breakfast With Santa: 12-10-22

Sara is going to request Honor Society Volunteers to help, mainly run craft table.

Need contract with kitchen to use facility and a custodian.

We budgeted for craft and decorations.

Office will draft a donation request letter and Michael will stop at Walmarts, Giants, etc. Gift Card or product donations, pancakes, syrup, etc.

Who is checking to see about having the Dairy Princess attend again, she usually gives out little gadgets and brings chocolate milk to give out.
